AI receptionist for clinics in Australia With a patient.Phone still answered.
NeuCalla answers in your practice's name, takes what's needed to book, and leaves the clinical conversation to you.
A medical receptionist AI for Australian practices, within limits
NeuTora gives Australian clinics an AI receptionist, NeuCalla, that answers the practice phone in the practice's name, 24/7. It asks whether the caller is new or existing, what kind of appointment they want and when they're free, books a free slot, can take a deposit by payment link and sends a confirmation text. It is an administrative receptionist, not a clinician: it doesn't give health advice, and you decide what it says to anyone describing an emergency. It suits allied health, dental, physio, chiro, podiatry, massage, skin and vet clinics, and other small practices.
Why clinics miss calls
In a small practice, the person who could answer the phone is usually the person treating. A physio mid-session, a dentist with a patient in the chair, a podiatrist with someone's foot in their hands: none of them should stop to take a call, and patients notice when they do.
Practices with a front desk still miss calls. The receptionist is checking a patient out, processing a health fund claim or already on another line, and the phone rings out. Before opening, at lunch and after close, nobody's there at all, and those are exactly the times working people ring to book.
A new patient who can't get through rings the next clinic in the search results. An existing patient who can't get through to rebook often just doesn't. NeuCalla answers the calls your team can't, in your practice's name, and books the appointment.
What NeuCalla asks someone booking an appointment
You tell NeuCalla about your practice in plain English: your services, practitioners, hours, location and what it should and shouldn't discuss. For a clinic the aim is to collect only what's needed to book, which usually means:
- New or existingWhether they've been before, which usually decides the appointment length and the paperwork.
- Appointment typeInitial consult, review, a particular treatment or a check-up, described in broad terms rather than symptoms.
- PractitionerWhether they'd like to see someone in particular, or the first available.
- When they're freeDays and times that suit, so it can offer a slot that's actually free.
- Contact detailsName and mobile, so the confirmation text reaches them.
- LocationIf you have more than one site, which one suits them.
If your appointments live in practice management software, talk to us before you start about how bookings would work for your practice. We'd rather say plainly what fits than have you find out on the first busy Monday.
Urgent calls and routine appointments
NeuCalla is not a triage service and shouldn't act like one. You decide what it says to a caller who describes something urgent. We'd suggest telling it to direct anyone describing a medical emergency to call 000, and to flag requests for a same-day appointment so the team sees them first. Outside your hours it can take a message, and during them it books into free slots.
Calls you might mark as urgent
- A request for a same-day or next-day appointment
- An existing patient asking to speak to their practitioner
- A caller describing an emergency, who should be told to call 000
Calls that can be booked as normal
- New patient initial consultations
- Review and follow-up appointments
- Check-ups and recalls
- Questions about hours, parking and location
For changes to existing appointments, you can have NeuCalla take a message and flag it, so a person makes the change. NeuCalla can also take a deposit by payment link for appointment types where no-shows are a problem.
Privacy, recording and what NeuTora does and doesn't claim
Health information is sensitive information under the Australian Privacy Act 1988, so the less of it you collect on a booking call, the better. Set NeuCalla up to ask for the appointment type in broad terms, not symptoms, and to leave clinical questions for the practitioner.
Call recording is off until you switch it on. When it's on, NeuCalla tells every caller the call may be recorded and lets them opt out by pressing a key. Recording rules differ between states and territories, and you're responsible for your own situation, so get advice if you're unsure.
NeuTora is based in Sydney, and how it handles personal information is written to align with the Australian Privacy Act. It does not sell data. NeuTora does not claim HIPAA certification or any healthcare-specific certification. The detail is on the Trust Center, the Privacy Policy and the HIPAA page.
Recalls and follow-up with NeuEngage
NeuEngage keeps every patient enquiry with the person it came from, including calls NeuCalla answered. Follow-up sequences and message templates handle the routine messages, like a reminder that a six-monthly check-up is due, without someone keeping a list on a sticky note.
Groups let you separate new patients, regulars and people who haven't been in for a while. One caution on reviews: if you're an AHPRA-registered practitioner, the rules on advertising regulated health services restrict using testimonials, so check the guidelines that apply to your profession before you ask for reviews you'd use in marketing.
What a clinic can post with NeuPresence
NeuPresence drafts posts in your practice's voice and plans the week, and nothing is published until you approve it, which matters when your profession has advertising rules. Ideas that stay on safe ground:
- Opening hours, public holiday hours and new appointment times
- A new practitioner joining, and what they focus on
- Parking, accessibility and how to find the rooms
- General information about a service you offer, without promising results
- Practice news, like a new treatment room or a move
Nothing goes out until you approve it. See how NeuPresence drafts and plans posts
The local searches that matter to clinics
People looking for a practice search close to home or work, often with a day or time. NeuVisibility tracks the keywords and rankings you choose, for searches like:
- physio near me
- dentist open Saturday [your suburb]
- podiatrist [your suburb]
- chiropractor [your suburb]
- vet [your suburb]
It keeps your Google business details accurate, including hours, location and services, helps you write clear service pages, adds descriptions to the images on your site, checks the site and your competitors, and shows how your practice appears in AI answers.
What it costs
One plan covers all four tools: $199 a month, including GST, on a 12-month term. It includes 100 minutes of NeuCalla calls a month and an Australian number. Extra minutes are 50c a minute, or switch extras off and NeuCalla takes a message once the 100 are used. Calls can be forwarded from the number you already have, or the number can be ported across. Pricing in full.
